General Terms and Conditions

These General Terms and Conditions (GTC) govern the contractual relationship between:

monapplication.be designs and deploys custom administrative automation systems for Belgian entrepreneurs, tradespeople and SMEs. Services include:

• Setup of an AI-powered digital secretary (call handling, appointments, quotes, follow-ups)
• Integration with the client's existing tools (calendar, CRM, email, WhatsApp)
• Configuration of a personalised admin dashboard
• Training and onboarding support

The detailed scope of services is specified in the quote accepted by the client.

Every project starts with a free 30-minute discovery call to assess the client's needs. Following this call, a detailed quote is sent by email within 48 business hours.

The quote is valid for 30 calendar days from its issue date. The order becomes firm and final upon receipt of the signed quote and the agreed deposit payment.

Any change in scope after quote validation will result in a supplementary quote subject to the client's prior approval.

Prices are stated in euros, excluding Belgian VAT (21%) applicable under current legislation. VAT will be added to invoices for non-VAT-registered clients.

Payment terms are specified in the quote: as a general rule, a 50% deposit is due upon order, with the remaining 50% due upon system delivery. Payments are made by bank transfer.

In case of late payment, interest will automatically apply at the Belgian legal rate, and a flat-rate penalty of 10% of the unpaid amount (minimum €40) will be due, in accordance with the Belgian Law of 2 August 2002 on combating late payment.

The first operational version of the system is delivered within an indicative timeframe of 30 calendar days from receipt of the signed quote and deposit. Full deployment is generally completed within 60 days.

These timelines are indicative and may vary depending on project complexity and the client's responsiveness in providing required information and access. Any delay attributable to the client shall not engage AJ SRL's liability.

To enable proper execution of the services, the client agrees to:

• Provide the necessary information, access and content within the agreed timelines
• Appoint a single point of contact available for exchanges and approvals
• Pay invoices within the agreed deadlines

The developments and deliverables produced during the project become the client's property upon full payment of all sums due.

AJ SRL retains the right to mention the project in its portfolio and commercial materials, unless otherwise explicitly agreed with the client.

AJ SRL undertakes to treat all information communicated by the client in the course of the engagement as strictly confidential. This information will not be disclosed to any third party without prior client consent, except as required by law.

AJ SRL's liability is limited to direct and foreseeable damages resulting from a proven fault in the execution of services. Under no circumstances shall AJ SRL be liable for indirect damages (loss of revenue, loss of profit, etc.).

AJ SRL's total liability under a given contract shall not exceed the amounts actually received under that contract.

Either party may terminate the contract in the event of a serious breach by the other party that is not remedied within 15 days following formal notice by registered letter.

In the event of termination at the client's initiative without fault on the part of AJ SRL, amounts already paid shall remain with AJ SRL as a lump-sum indemnity.

These GTC are governed by Belgian law. In the event of a dispute, the parties agree to seek an amicable resolution before resorting to legal proceedings. Failing that, the courts of the judicial district of Brussels shall have sole jurisdiction.
